Campus Access and Security Policy

1. Purpose of This Policy

1.1 To set out clear procedures for the admission of staff, pupils, parents, contractors and visitors to the School site, aligned with the School's Safeguarding Policy and fire evacuation procedures.

1.2 To safeguard all pupils so they can learn in a safe, secure and well-managed environment.

1.3 To ensure that staff, pupils, parents and visitors feel safe and confident while on campus.

2. Scope

2.1 The School has responsibility for pupils during the school day and during any school-organised activities outside normal hours.

2.2 This policy applies to the whole School community, including:

  • All teaching and non-teaching staff
  • All pupils
  • All parents and parent volunteers
  • All external visitors
  • All vehicles entering the School site

3. Procedures

3.1 School Staff

  • All staff must display their School ID card and wear the approved staff lanyard at all times while on campus.
  • Staff must not enter restricted or unauthorised areas unless access is required for their role and has been approved.
  • Staff are responsible for ensuring that visitors under their supervision follow School procedures.

3.2 Pupils

  • All pupils must enter and leave the School in School uniform unless permission has been granted otherwise.
  • Pupils arriving late must report to the designated School entrance and sign in before going to class.
  • Pupils must carry their pupil ID card at all times.
  • Pupils leaving early must obtain written approval from the School Office and present this to security before leaving, even when collected by a parent.
  • Pupils may not leave campus during the school day unless authorised by the School.

3.3 Visitors with Appointments

  • Staff expecting visitors must inform Reception in advance, providing the visitor's name, purpose, date and time of visit.
  • All visitors must enter through Security at the main gate before entering the campus.
  • Visitors must sign in, state the purpose of their visit, and identify the staff member they are visiting.
  • Visitors must present official photo identification.
  • Visitors must wear the School-issued visitor pass at all times.
  • Visitors must be collected from Reception by their host and remain accompanied at all times unless prior safeguarding clearance has been approved.
  • On departure, visitors must sign out and return their visitor pass at the gate.
  • Visitor parking must be pre-arranged and is subject to availability. Security instructions must be followed at all times.
  • Only visitors who have completed appropriate safeguarding and background checks, approved by the School's Designated Safeguarding Lead, may be granted limited unaccompanied access for School business.

3.4 Visitors without Appointments

  • Visitors without an appointment must report to Reception to determine whether a meeting can be arranged.
  • If no staff member is available, access will not be granted and an alternative appointment should be arranged.
  • Any individual on site without a visible staff or visitor pass must be politely challenged and escorted to Reception.
  • Visitors who refuse to comply will be asked to leave immediately. Senior Leadership will be informed and police may be contacted if required.
  • Any aggressive or abusive behaviour will result in immediate removal from the site.

3.5 Contractors and External Service Providers

  • All contractors and service providers must register at Reception, present identification and wear the correct contractor or service lanyard.
  • Contractors must follow all School safety and safeguarding procedures.
  • Contractors must remain accompanied by a member of School staff unless prior approval has been given.
  • Contractors without valid identification or authorisation will be removed from site immediately.

4. Drop-Off and Pick-Up Arrangements

4.1 General Principles

  • These procedures are in place to ensure pupil safety and smooth traffic flow.
  • All instructions given by security staff must be followed.

4.2 Pedestrian Access

  • All pedestrian drop-off and collection must take place via the designated School gates.
  • Pedestrians must use marked walkways and follow security directions.

4.3 Vehicles

  • The maximum speed limit on campus is 8 km/h.
  • Vehicles may only stop in designated drop-off and pick-up zones.
  • Drivers must not leave vehicles unattended.
  • Vehicles must exit the campus promptly after drop-off or collection.

4.4 Drop-Off

  • Pupils should be ready to exit vehicles promptly.
  • Parents or drivers should remain in vehicles at all times.
  • Waiting time in drop-off zones is strictly limited.

4.5 Pick-Up

  • Gates will open only at published pick-up times.
  • Vehicles arriving early will be asked to queue off-site if necessary.
  • Vehicles may be asked to re-queue if pupils are not ready at the collection point.

4.6 Penalties

  • Failure to comply with traffic or security instructions may result in a warning.
  • Repeated breaches may result in withdrawal of vehicle access privileges.
  • Abuse towards security or staff will result in immediate action by the School.

5. Deliveries

  • All deliveries must be arranged through school administration and directed to the designated delivery area.
  • Staff should not arrange personal deliveries to the School unless specifically authorised.
  • Security reserves the right to refuse unauthorised deliveries.

6. Compliance

Failure to follow this policy may result in restricted access to the campus and further action in line with School procedures.
